You're right, these things do tend to take on a life of their own. The only downside is dealing with the unpredictable nature of easily-distracted creative people - Someone ends up needing to organize folks anyway, at least until we have a "hub". Ideally a guild should setup a regular presence somewhere (even if it's just a loose IC excuse, such as a place they store their smuggled goods, unequited love for an NPC dancer/waitress, etc).
Saturdays are always good - so are Sundays. The single people with weekend activities will rarely be "regularly" available no matter what, same with folks raising young children.
In my experience most rp seems to happen later in the evenings - after work. dinner, and questing (and eventually, guild raiding sessions) winds down for most players.

As a parent to a kindergartner, I want to say that this is very true. It's one of the reasons why I missed last night's event. My daughter's bed time is at 9, but depending on how fiesta she is being, it can change from a 15 minute event to a 3 hour marathon. I would think announcing the event in the channels for RP is a good idea. I know, myself, I do not always come to this website. With my daughter, I am often scattered brained. People sometimes need to be reminded when the event is going on.

Well I have some dinner plans for next Saturday, so I won't be able to spread the word. But I have cross posted this on swtor.com and swtor-rp.com. I will spread this info to my friends as well. Hope it all works well again next Saturday.

I don't think anyone really needs to be "in charge" of anything, Cal. You've already done all the work by setting a consistent day, time and location. It's up to everyone involved to plug it in ooc and remind rp buddies about it. From my experience, word of mouth exchanges are more powerful than any listed calendar event or anything. So, like Duchess said, we just gotta' keep it consistent. In fact, I pretty much agree with everything Duchess said. >>

I'm a dolt. I was THERE last time and duh, didn't realize there'd been a planned thing. I think at this stage with a new game, new server and all, it's great to have loosely organized meet and greet type things. I'll be more social next time.
